Which conferences and launches suit the venue?
We are a good fit for single-track events with one main room: an industry association meet, a channel-partner or dealer conference, a customer day, or the launch of a product, a project or a new brand to a local audience. Multi-track conferences with many parallel rooms are better served elsewhere, and we will say so honestly if your agenda needs that.
Planning the launch moment
A product launch lives or dies on a few minutes on stage. These are the details we work through with you:
- Stage and reveal Where the stage sits in the AC banquet hall, how the product is revealed and where the photographers stand.
- Branding Backdrop, standees and entry branding: share your vendor plan and we confirm set-up timings in writing.
- Running order Welcome, speakers, the reveal, media or dealer interactions and dinner, timed so food is ready when the stage closes.
- Display area A space for product display or demo tables where guests can look closely after the presentation.
Screens, sound and the AV vendor
We can arrange an AV setup; tell us what you need. Seating layouts include theatre, classroom, cluster and U-shape; share your agenda and what your own AV vendor brings, and we confirm the set-up in writing. For conferences and launches the list usually includes a stage, a large screen or LED wall, sound for speakers and video, microphones for a panel or questions, and lighting for the reveal. We agree the vendor's load-in and rehearsal time with you so the room is ready before guests arrive.
Networking, food and guest arrival
Many launches end with a networking dinner on the open lawn, which gives guests room to move and talk after a seated programme in the hall. In-house catering. Outside caterers are allowed with prior approval. Menus are shared on request; see catering. Alcohol is allowed with the required licence or permit.
Registration desks, guest lists and arrival times are worth planning early; share the how-to-reach page with invitees. If an agency is running the event, see working with event planners.
