Corporate annual day planning guide for Pune teams

Plan a corporate annual day by working backwards from the run of show: fix the purpose and the guest mix, agree one agenda that alternates awards with performances, plan shuttles around East Pune office traffic, rehearse the AV with every file loaded, and time dinner to follow the last award.

A company annual day is organised by a committee of people who already have full-time jobs. It has to please senior leadership, entertain everyone else, recognise the right people and still end with dinner at a sensible hour. The events that run smoothly are almost always the ones with a written agenda, a rehearsed technical plan and a transport plan that someone owns. This guide walks through each in the order you will need them, with notes for companies whose offices are in East Pune. For the venue side, see our annual day venue page; for the wider process, our corporate event planning guide covers the basics.

Step one: decide the purpose and the guest mix

Write two sentences before you do anything else: what the evening is for, and who is in the room. Is it mainly an awards night, a performance showcase, a celebration of the year, or all three? Are only employees invited, or families too? The answers change the agenda, the menu, the seating and the finish time, so settle them with the people who approve the budget before you contact a single venue.

  • Name one owner for the whole event, and one backup.
  • List the programme elements: awards, performances, leadership address, video, games.
  • Agree who signs off the final agenda, so it is not rewritten the week before.

Step two: pick a date that suits Pune

Check the date against quarter-end, the appraisal cycle, school exam weeks and festival periods such as Ganeshotsav and Diwali, when travel and attendance change. Weekday evenings need a firm start so people can leave work; weekends allow families and a longer programme but compete with other plans. If your date falls in the monsoon, plan the programme indoors and treat any lawn use as a bonus. The monsoon season is officially June to September, and withdrawal from Pune usually begins in early October, though the date and the showers around it vary from year to year.

Step three: plan the journey for East Pune teams

For companies with offices in East Pune's business parks, such as those around Kharadi, Magarpatta, Hadapsar and Viman Nagar, getting everyone to one venue after work is the part that most affects the start time. A few steps help:

  • Choose pick-up points. Use office gates or well-known junctions rather than a long list of homes.
  • Run shuttles on a timetable. Publish departure times with the invitation, and name one coordinator per vehicle with a printed passenger list.
  • Plan for office-hours traffic. Drive the actual route at the hour your people will travel, and set the start of the programme after the first arrivals, not before.
  • Plan the return. Fix the last departure for each route before the event, and tell employees where to board. Everyone, especially those travelling late, should know how they are getting home.
  • Ask about vehicle access. Check where shuttles stop and turn, and where employees driving their own vehicles will park.

Step four: build the agenda

An annual day holds attention when blocks of different energy alternate. Avoid three speeches in a row, and keep awards in short blocks between performances so no category feels like a roll call. Here is a structure that works as a starting point; adjust it to your own programme.

BlockWhat happensPlanning note
Arrival and registrationWelcome drinks, seating, photo cornerOpen the doors before the announced start; late shuttles will arrive in waves
OpeningEmcee welcome, lamp or ceremony if you have one, short leadership addressKeep the first speech short, and brief the speaker on the time
Awards, first blockTeam and long-service recognitionRead names clearly; spell-check every certificate and slide
PerformancesEmployee acts, dance, music, skitsSet an order, and put the loudest or longest act at a sensible point, not last by default
Awards, second blockIndividual and special awardsSeat winners near the stage so there is no long walk
ClosingVote of thanks, group photographAnnounce that dinner opens straight after
DinnerBuffet or served mealOpen the counters as the programme ends, so the room never sits waiting

Add a buffer to the total running time. Programmes tend to overrun, and a margin of a tenth or a little more of the total running time, spread between blocks, keeps dinner from slipping late.

Step five: write the run of show

The agenda is what guests see; the run of show is the working document behind it. Event-production guides describe it as the master timeline of the event, while a cue sheet is the narrower version for one crew member, such as sound or lights. For an annual day, put these columns in one shared document:

  • Order and a unique cue number for every item, so the person calling the show can refer to it without confusion.
  • The name of the speaker, performer or presenter, and who introduces them.
  • The slide, video or music file used, and the exact file name.
  • The microphone, lighting and stage position for the item.
  • The person responsible for each cue, with a mobile number.

Give role-specific copies to the emcee, the AV operator, the venue manager and the backstage coordinator, and update every copy after each rehearsal.

Step six: AV, stage and rehearsals

Most annual day problems are AV problems that could have been caught the day before. Use this checklist with your venue and your AV vendor:

  • Collect every presentation, video and music file by a set deadline, and load them on one laptop that stays at the control desk.
  • Keep a second copy on a pen drive, and test each video with sound, not just picture.
  • Agree the stage size, screen position and where the emcee stands, so presenters are never hidden behind a speaker stack.
  • Hold a technical rehearsal with the actual files, and give each performing group a short slot for a sound check.
  • Keep a changing area for performers near the stage, with a clear backstage entry.
  • Ask who arranges any music licence the event needs. Bodies such as PPL and IPRS issue licences for recorded and live music played at events. How far these licences apply is debated in India, so ask your venue and your AV vendor what they already hold and who arranges the rest.

If your own AV vendor is coming, share the run of show with them early and ask the venue for their set-up and rehearsal times in writing.

Step seven: dinner, drinks and the clock

Dinner runs well when the kitchen knows the real programme end time rather than the printed one. Share the run of show with the caterer, agree who signals them, and ask for a menu that covers vegetarian, Jain and non-vegetarian guests. Collect dietary needs at registration. If employees are bringing families, tell the caterer, because that changes both the menu and the pace. If drinks are part of your plan, ask the venue for its alcohol policy and what permit applies.

The final week: a short checklist

  • Confirm the guest count with the caterer, and share the transport plan with everyone.
  • Print the run of show, the seating plan and the shuttle lists.
  • Check every award certificate, trophy and name slide against the final winners list.
  • Do a walkthrough at the venue with the AV vendor, the decorator and the committee.
  • Brief the emcee, the presenters and the backstage coordinator, and confirm the rain plan if any part of the evening is outdoors.
