Questions to ask before booking a banquet hall in Pune

Visit before you decide, and put the same questions to every banquet hall in Pune: the space and its layout, the food and kitchen, decor, sound and music timings, the rain plan and parking, safety paperwork, and what the written quote covers. Write the answers down and compare venues side by side.

The hall set for dinner with round tables, white chairs with yellow sashes, a floral stage and chandeliers

Every banquet hall looks good in a brochure: chandeliers, a stage, a long buffet line. The differences only show up when you ask specific questions, and the answers are easier to trust when you hear them on site rather than over the phone. This checklist is written for a site visit to any banquet hall in Pune, ours included. Keep it on your phone, ask each venue the same things, and write the answers down. If you are still working out the steps from enquiry to event day, how booking works covers the process; this post covers what to ask along the way.

Before you go: settle three things

  • A rough guest range. Even a range such as "small family gathering" or "a full wedding crowd" lets the venue show you the right space and layout.
  • Two or three date options. If your muhurat comes from a family priest, carry the alternatives, because the first date may not suit every vendor.
  • The format. A seated dinner, a standing buffet, a stage programme and a ritual ceremony each need different things from a room.

Visit at the time of day your event will happen. An evening reception looks different at noon, and so does the road outside.

Questions about the space and layout

  • Which space suits my event, and can I see it set up for something similar? A bare hall tells you little. Ask to see photos or a live set-up.
  • Where would the stage go, and can every guest see it? Stand at the back and at the sides. Check for columns that block sightlines.
  • Which layouts can you set up? Theatre, classroom, cluster and banquet-style round tables all seat different numbers. Ask for the guest figure for your layout in writing, because a single headline number tells you very little.
  • How long do we have the space? Ask separately for set-up time for decorators, event time and the time everything must be cleared.
  • Will another event run at the venue on the same day? Ask how the entrance, parking, dining area and sound are kept separate if two events overlap, and when the other event sets up and clears.
  • Is there a green room or changing room? Ask whether it is air-conditioned, and how close it is to the stage.
  • Can an elderly relative or a wheelchair user reach the stage, the dining area and the washrooms without stairs? Ask about ramps and lifts. India's Rights of Persons with Disabilities Act, 2016 sets accessibility duties for public buildings, so it is a fair thing to ask.

Questions about food and the kitchen

  • Is catering in-house, outside, or either? If outside caterers are allowed, ask about any conditions or charges. Our own catering page shows how we explain it.
  • Can we see the kitchen? A clean, orderly kitchen tells you a lot about the dinner service to come.
  • Does the caterer hold a food licence? Under the Food Safety and Standards Act, 2006, food businesses, caterers included, need a licence or registration from FSSAI, the national food regulator. The number is meant to be displayed at the premises and printed on bills, so ask for it.
  • Is there a tasting, and is it for the final menu?
  • How are Jain, vegetarian and non-vegetarian dishes kept apart? Dietary rules differ from one home to the next, so find out how the venue handles separate counters, utensils and staff.
  • How many service counters and servers will there be for our guest range? Long queues at the buffet are easy to avoid when the counters and staff match the guest list.

Questions about decor, sound and music

  • Is decor in-house, or can our own decorator work here? Ask about rules on flames, confetti, fixing things to walls and ceilings, and whether an outside decorator pays an entry charge.
  • Which sound, lighting and screen equipment is already on site, and what must we bring? Ask where the power points are, and who handles a technical problem on the day.
  • What happens if the power fails? Ask about a generator or other backup, and how quickly lights and sound return.
  • Until what time can music play? Get the venue's cut-off in writing. In India, amplified sound at night is regulated by the Noise Pollution (Regulation and Control) Rules. They restrict loudspeakers and sound-producing instruments at night, with an exception for closed premises such as banquet halls, where the sound is for communication within. They also call for the authority's written permission before a loudspeaker or public address system is used. A venue's own cut-off can still be stricter, and sound that carries outside the building is a different matter, so ask who is responsible for any permission.

Questions about weather, parking and the route

The monsoon season officially runs from June to September, and in Pune the normal date for the rains to start withdrawing is early October, though the dates move from year to year. That makes the rain question relevant for a long stretch of the calendar.

  • If we plan an outdoor function, where does it move if it rains? Look at that indoor space during your visit, and ask who decides, and by when.
  • Where do guests park, and how do two-wheelers and cars enter? Ask whether staff direct vehicles, and what happens on the road outside when guests arrive together.
  • Is the route easy for elders and outstation guests? Drive it yourself at the hour your guests will travel, because Pune traffic changes with the time of day and on festival days.

Questions about safety and paperwork

  • Where are the fire exits, and will decor or stage builds block them? Walk to each exit and check that the aisles in your seating plan leave a clear path.
  • Is the fire safety paperwork current? In Maharashtra, the Fire Prevention and Life Safety Measures Act, 2006 requires owners or occupiers of buildings covered by the Act to submit a certificate from a licensed agency in January and July, confirming that fire safety measures are in good repair. It is reasonable to ask a venue to show its latest one.
  • Will we get a GST invoice? Companies in particular should ask for the invoice details before approving the quote.
  • Who is our contact on the day, and what can that person decide? One named person with authority saves hours of phone calls.
  • Who arranges any permit for alcohol, if you plan to serve it? Ask early and get the answer in writing.

Get these items in writing

A friendly answer on a site visit is not a commitment. Before you decide, ask for the quote to set out each of the following:

ItemWhat the written quote should say
Date and timingsThe date, the set-up time, the event time and the clearing time
Space and layoutWhich space or spaces, and the layout you discussed
FoodThe menu, what is included, and any dish or service charged separately
Decor and equipmentWhat the venue provides, and what your vendors bring
Music and timingsThe music cut-off and any rule on outside vendors
PaymentThe advance, the payment schedule and the dates each is due
ChangesWhat happens if the date or plan has to change, in the venue's own words
Extra chargesWhether taxes are included, and anything not in the main figure, such as overtime or outside-vendor entry
ContactThe name and number of the person responsible on the day

If a venue is reluctant to write something down, treat that as an answer too.
